What Should I Do First?

If a Lead tells you they don’t want to be contacted, you should respect their request immediately by updating the correct fields on the Lead record.

Take these steps:

  1. Update Communication Preference

    • Set the Communication Preference field to "Not To Be Contacted"

  2. Opt Them Out of Email or Calls

    • Tick “Do Not Call” if they don’t want phone calls

    • Tick “Email Opt-Out” if they don’t want marketing or sales emails

  3. Add a Note in the Description Field

    • Write a short, clear note explaining the opt-out

    • Example: “Requested no further contact via phone or email – 20 May 2025”

What Happens After That?

These changes will:

  • Suppress the Lead from campaigns

  • Flag the record with a warning icon

  • Help other users avoid unintentional follow-up

Should I Delete the Lead?

No. Deleting leads removes valuable context and someone else may find the lead down the line thinking its “New”.

Instead;

  • Leave them in the system with clear opt-out flags & notes

This helps you:

  • Maintain data quality

  • Track where leads came from

  • Avoid re-adding them accidentally in the future

Can I Contact Them Later?

Only if the Lead reaches out again or opts back in. Otherwise, you should not contact them.
Always follow your company’s data handling and privacy policies.
